The Yard Administrative Coordinator will be a part-time position with flexible scheduling available Monday through Friday between 7:00 AM and 3:30 PM. This role is primarily onsite, with flexibility as needed, based at our Yard Operations in Cottage Grove, WI. The main responsibility will be providing administrative support to the operation.
Responsibilities:
- Update and maintain consumable inventory levels based off packing slips and received orders.
- Utilize ToolWatch software for the preparation and distribution of monthly project inventories, including reconciliation of discrepancies.
- Providing bill of lading for lumber deliveries to drivers.
- Electronic filing of service records and annual inspections for equipment.
- Scan, send and document packing slips and receipts for equipment, parts and supplies.
- Manage monthly visa reporting process within Concur, ensuring accuracy, compliance, and timely submission.
- Assist with procuring yard consumables and supplies through established vendors.
- Back up coverage for inventory and equipment transfers as needed.
- Follow all yard safety requirements as defined by Steven’s safety policies and procedures.
- Ensures that the administrative tasks are completed as required and as efficiently as possible while keeping the Yard Superintended and Yard Foreman properly informed.
- Additional administrative tasks as assigned.
Requirements:
- Prior experience in an administrative role related to the construction or trucking industries
- Proficiency in Microsoft Suites and inventory-based software
- Demonstrated ability to work independently with minimal supervision while staying motivated to complete tasks efficiently
- Ability to lift, move, or carry material up to 50lbs on an occasional basis
